Common questions about working with teams in VideoToBe.
How many workspaces can I have?
Unlimited! You get one personal workspace automatically, and can create as many team workspaces as needed.
How many members per workspace?
Maximum 50 members per workspace. This includes all roles (Owner, Admin, Editor, Viewer).
What are the different roles?
- Owner: Full control, can delete workspace and manage all members
- Admin: Can invite/remove members, manage content (except other admins/owner)
- Editor: Can upload and edit content, cannot invite members
- Viewer: Read-only access, can view and download transcripts
Can I transfer workspace ownership?
Yes, but this feature must be done through support. Contact us to transfer ownership to another admin member.
How do invitations work?
- Owner or Admin sends invitation to email address
- Recipient receives email with invitation link
- Recipient must sign up/login with that exact email
- Invitation expires after 7 days
- Maximum 10 invites per batch, 50 per day
Can team members see each other's personal workspaces?
No. Personal workspaces are completely private. Only shared team workspaces are visible to invited members.
Do all team members need paid accounts?
No. Each user has their own subscription:
- Free users can be invited to team workspaces
- Daily limits apply to individual uploads, not workspace content
- Free users can view unlimited team content
- Only uploading counts toward personal daily limits
Can I have multiple owners?
No. Each workspace has exactly one owner. The owner can designate multiple admins who have most owner privileges.
What happens if the owner leaves?
The workspace owner should transfer ownership to an admin before leaving. If an owner account is closed without transfer, contact support to resolve ownership.
Can I duplicate content across workspaces?
Not directly. You'll need to download the transcript and re-upload to the other workspace.
