Creating Your Account

Sign Up Methods

VideoToBe offers two convenient ways to create an account:

  1. Email and Password

    • Visit app.videotobe.com
    • Click "Sign Up"
    • Enter your email address and create a password (minimum 8 characters)
    • Verify your email address via the confirmation link sent to your inbox
  2. Google OAuth (Recommended)

    • Click "Continue with Google"
    • Select your Google account
    • Grant permissions
    • Your account is created instantly - no email verification needed

Why Use Google OAuth?

Google OAuth is faster, more secure, and eliminates the need to remember another password. You can always add a password later if needed.

First-Time Setup

After signing up, VideoToBe automatically:

  • Creates your personal workspace
  • Sets up your user profile
  • Assigns you to the Free plan (3 transcriptions per day)

You're ready to upload your first file immediately!

Free Account

Daily Limits:

  • 3 transcriptions per day (rolling 24-hour window)
  • 3 YouTube imports per day
  • 500MB maximum file size
  • 30 minutes maximum duration per file

Workspaces

Personal Workspace

Every user gets a personal workspace automatically upon signup. This is where all your individual content lives.

Default Settings:

  • Workspace name: Your name
  • Owner: You
  • Members: Just you (can invite others)

Team Workspaces

You can create additional workspaces for team collaboration:

  1. Click your profile icon → "Create Workspace"
  2. Enter workspace name and description
  3. Click "Create"
  4. Invite team members via email

You can belong to multiple workspaces and switch between them easily. Each workspace has its own content library and member permissions.

Profile Management

Updating Your Profile

  1. Click your profile icon in the top right
  2. Select "Settings" or "Profile"
  3. Update your information:
    • Display name
    • Email address
    • Profile picture
    • Password (if using email/password authentication)

Notification Preferences

Control what email notifications you receive:

  • Transcription completion notifications
  • Workspace invitation notifications
  • Billing and subscription updates
  • Product updates and announcements

Email Verification Required

Some features require a verified email address, including workspace invitations and password resets. Make sure to verify your email after signup.

Security Settings

Password Management

If you signed up with email/password:

  • Change your password regularly
  • Use a strong, unique password
  • Enable password manager integration

Active Sessions

View and manage active login sessions:

  • See all devices where you're logged in
  • Revoke access from specific devices
  • Log out of all devices remotely

Billing & Subscriptions

Upgrading to Pro

  1. Navigate to Settings → Billing
  2. Click "Upgrade to Pro"
  3. Enter payment information (Stripe secure checkout)
  4. Confirm subscription

Your Pro benefits activate immediately.

Managing Your Subscription

  • View billing history: Settings → Billing → Invoices
  • Update payment method: Settings → Billing → Payment Method
  • Cancel subscription: Settings → Billing → Manage Subscription → Cancel

No Refunds After 7 Days

VideoToBe offers a 7-day money-back guarantee. After 7 days, subscriptions are non-refundable, but you can cancel anytime to prevent future charges.

Account Deletion

What Happens When You Delete Your Account

  • All your personal data is permanently deleted
  • All content in your personal workspace is deleted
  • You're removed from all team workspaces
  • Active subscriptions are canceled
  • This action cannot be undone

How to Delete Your Account

  1. Go to Settings → Account
  2. Scroll to "Danger Zone"
  3. Click "Delete Account"
  4. Confirm deletion by typing your email address
  5. Your account will be deleted within 24 hours

Download Your Data First

Before deleting your account, make sure to download any transcripts or content you want to keep. Once deleted, your data cannot be recovered.
