Quick Start Guide

Get started with VideoToBe in just a few minutes. This guide will walk you through creating an account, uploading your first file, and accessing your transcript.

Getting Started

Create Your Free Account

Visit app.videotobe.com and sign up using:

  • Email and password
  • Google OAuth (fastest option)

Your personal workspace is automatically created when you sign up. You can create additional team workspaces later.

Upload Your First File

Once logged in, you'll see your workspace dashboard. To upload a file:

  • Click the Upload button or drag and drop your file
  • Supported formats: MP3, MP4, WAV, M4A, MOV, AVI, and more
  • Free plan: Up to 500MB and 30 minutes per file
  • Pro plan: Up to 2GB with unlimited duration

Free Plan Limits

Free accounts can transcribe 3 files per day. Limits reset on a rolling 24-hour basis. Upgrade to Pro for unlimited transcriptions.

Configure Transcription Options

Before transcription starts, you can optionally:

  • Translate to English: Automatically translate from 90+ languages
  • Speaker Diarization: Identify different speakers (labeled as Speaker 1, Speaker 2, etc.)
  • Initial Prompt: Provide context for better accuracy (e.g., technical terms, names)

Wait for Processing

Transcription typically takes 2-5 minutes depending on file length. You can:

  • Wait on the page and see real-time progress
  • Close the browser - you'll get an email when it's ready
  • Upload more files while waiting (within daily limits)

Access Your Transcript

Once processing completes, you can:

  • View: Read your transcript with synchronized media playback
  • Edit: Edit speaker names and transcript text directly
  • Download: Get your transcript in TXT, SRT, VTT, or JSON format
  • Chat: Ask questions about your content using AI
  • Share: Generate a public link for sharing with others

Import from YouTube

Already have content on YouTube? Import existing transcripts in seconds:

  1. Navigate to Import → YouTube in your workspace
  2. Paste any YouTube video URL
  3. Click Preview Transcript to see if captions are available
  4. Click Import to save to your workspace (free users: 3/day, Pro: unlimited)

YouTube Import Limitations

YouTube import only works for videos that have captions enabled by the creator. If no captions are available, you'll need to download the video and upload it for transcription.
